Hi there,

I run a fairly new furniture and accessories brand and am looking to improve the look and feel of our initial e-mail correspondence to potential trade clients who are retailers and interior designers.

The key objectives are to sell without overselling, maintaining an informative and educational tone. To present our offering in a pleasant and easy to read format. To maintain consistency with our website. To make a great first impression for the company, presenting it as a professional forward thinking operation.

A key is that the e-mail needs to be readable in some form to all recipients some of whom have system constraints which prevent them from downloading images.

I will supply copy, access to the existing website and imagery and would be looking for 3 initial proposals with a view to deciding on the preferred format and proceeding from there.

Ideally the e-mail can be changed fairly easily to allow personalisation, eg the name of the clients business and also changes of imagery.

Ultimately as a start up we are on a budget and looking for the best value for money we can obtain.

There is potential for this to be a long term arrangement / requirement.

Good Afternoon Charles,

Thank you for providing me with the opportunity to quote on this job. I hope you find my evaluation useful, whether you choose me to carry out the work or not.

I have over six years experience in sending out html based promotional and newsletter emails, and creating email stationery applicable to the clients' specifications and brand.
I ensure that these mails are completely cross browser, application and operating system compatible - Whether they are viewed from a web interface, ie. Gmail or MSN, or through Email clients such as Outlook, Thunderbird or Eudora. I have paid my dues when it comes to compatibility testing!

Depending on Operating System and network configuration, Your stationery will install on your local server or on each employees machine. The template can be supplied to you in two possible ways:
1. A blank, generic template that can be edited by your employees to include their personal details,
2. I can create each employee template from a list supplied by yourself.

The most time consuming and onerous part of this job is not the design process - this is relatively straightforward for any web designer - it is the installation of these templates on the employee computers. I have vast experience in supporting this process, both on-site and remotely. I will supply a step by step guide (pictorial and textual) to make sure the design is deployed across your company network - no matter which version of OS and mail client you use. This is vital! Each mail client, even different versions of the same mail client(!), requires different setup procedures. For your own peace of mind, make sure all of your bidders include this in their analysis of the job.

When you say you are looking for three proposals, are you referring to the style or the technical features?
There is really only one proper way to do it... with limitless possibilities of style.
I would carry out the design in .html, with the possibility of embedding a .css style sheet if necessary. It is possible to embed any images you require in the email, without needing the recipient to download any extra files - it would be an integral part of the email.
If the template is for simple email stationery, we could even dispense with images completely and focus on color and shape as brand recognition tools, with the font choice being company specific.

Besides coding other designer's (in-house marketing departments) flat images for mail distribution, I can also conceptualize and produce custom artwork for any mail distribution - obviously you need to describe more about each mailing regarding target market, content, etc. I can liaise with you or an appointed employee to be your outsourced email advertisement executive.

Additionally, If you need to send out occasional bulk email drops, sending to your database of clients can be done through your own email system, or I can arrange web based bulk mailing facilities at a low cost. I treat your database with the utmost confidentiality. I have experience mailing from web based apps, Goldmine, Outlook and other bulk mail tools.

Please feel free to have a look at some of the email stationery and bulk email work I have already done - my portfolio website anodyne.co.za (browse to 'Email based work' using the right hand side navigation) contains examples. Please do not judge the design substance - this is client specific and not under my control, but rather the execution. Email signature files I create are all in daily use, and all of the bulk mail drops were completed 100% (to mailing lists of +25000 clients)

If you are interested in working with me, please supply me with a few clarifying answers:
1. What OS will the templates be primarily based on? eg. Windows, Linux, Mac
2. What email client will be primarily used to send the templates? eg. Outlook, Outlook Express, Eudora, Mac Mail
This will enable me to advise and consider installation possibilities and guides. Time frame, from your complete brief to completion, would probably be 24-48 hrs depending on complexity of the installation process.

In an nutshell, I offer all of the experience, skills and know-how to complete the job to your satisfaction. This experience ensures you get value for money. As a newish member of this site, I regret not being around to bid on your previous projects.

As an added point to consider, while I am based in South Africa - remote indeed - it is in a time zone not too distant from the UK. I will be able to consult with you on MSN, via email or Skype easily and immediately. Incidentally, I am originally from the UK myself.
