Project Overview:
We run a Shopify-based doughnut bakery that ships nationwide in the UK. Currently, our team manually downloads outstanding orders as a CSV from Shopify and inputs them into Google Sheets to track production requirements. We want to automate this process using Airtable + Shopify, ensuring:
✅ Orders sync automatically from Shopify to Airtable.
✅ Doughnut flavours and quantities auto-organize into a production schedule.
✅ Ingredient calculations auto-update based on total doughnuts needed.
✅ Bakery staff can access real-time, shareable order data and use this data as a production schedule.
We’re looking for an Airtable + Shopify automation expert to set up this workflow.
Key Responsibilities:
Connect Shopify to Airtable using Make (Integromat) or Zapier.
Set up an Airtable base to track orders, doughnut flavours, and production totals.
Automate order imports into Airtable, eliminating manual CSV downloads.
Create formulas in Airtable to calculate the total ring/filled doughnuts per production day.
Develop ingredient-tracking formulas based on doughnut quantities.
Optimize Airtable views for easy access by bakery staff.
Test the system to ensure smooth automation and accuracy.
Provide basic training/documentation for our team to manage the system.
Requirements:
✔ Proven experience with Airtable & Shopify automation.
✔ Expertise in Make (Integromat) or Zapier for integrations.
✔ Strong skills in Airtable formulas, filters, and automations.
✔ Experience setting up inventory tracking and production workflows (preferred).
✔ Ability to create a user-friendly, scalable system for bakery operations.
✔ Excellent communication and ability to document the setup.
Deliverables:
✅ Fully automated Shopify → Airtable integration.
✅ Working Airtable base with order tracking, production planning, and ingredient calculations.
✅ Custom views for bakery staff to easily access relevant data.
✅ Step-by-step guide (or video tutorial) on how to use and maintain the system.
